TECHNICAL GUIDE / REQUIREMENTS TO ACCEPTANCE

From a DOORS requirement to an accepted delivery.

Connect IBM DOORS requirements, Confluence design decisions and Jira execution with Velocize: baselines, change control, evidence and two-way feedback.

Connect requirement, design and execution tools: IBM DOORS requirements; Confluence design records; Jira execution scope; Velocize review and traceability.

A systems engineering team can manage formal requirements in IBM DOORS, explain the design in Confluence and implement it through Jira. Each tool answers a different question: what is required, why was this approach chosen, and who is doing the work? Process integration must preserve the relationship between these answers as requirements, documents and implementation change. A URL in a ticket helps navigation, but it does not establish which revision was implemented or which evidence justified acceptance.

Velocize connects this distributed process through source identities, explicit ownership, lifecycle transitions and evidence. This article follows an illustrative industrial monitoring feature from a requirements baseline to implementation, review and rework. It is an integration design example, not a customer case study. The IBM interoperability scope follows the selected DOORS or DOORS Next version and configured exchange profile; their interfaces are not treated as interchangeable.

01

1. Assign an owner to each kind of truth

Define ownership before moving data. In this example, the IBM requirements environment owns requirement wording, attributes and the approved baseline. Confluence owns the referenced design document and its revision history. Jira owns implementation tasks, assignment and execution status. Velocize coordinates the relationships, impact assessment, evidence review and delivery decision without silently taking ownership of the external records.

Write permissions follow that division. A Jira description may receive approved requirement context, but an engineer editing that description cannot thereby rewrite the authoritative requirement. A Confluence comment can raise a review concern without changing the approved baseline. Returning information to IBM requires an explicitly permitted operation and mapping; a status callback is not blanket permission to approve requirements.

02

2. Preserve requirement identity and baseline context

Suppose the approved requirement says that a communication interruption must produce an operator-visible event and a diagnostic record. The lifecycle link identifies the originating requirements system, project or module, artifact identity, relevant revision and baseline. Acceptance conditions travel with that context. A title or copied paragraph is insufficient because two similar requirements can belong to different products or configurations.

DOORS Next requirements mapping is part of Velocize’s interoperability model. OSLC linking and ReqIF exchange serve distinct needs: one connects lifecycle resources, while the other exchanges requirements packages. Classic DOORS integrations need their own version and interface assessment. Choose the profile against the actual environment and retain the external identity across subsequent exchanges.

03

3. Connect the Confluence decision to a specific revision

The architecture team documents interruption detection, event handling, diagnostic storage and operating assumptions in Confluence. Link the relevant page identity and revision to the requirement and architecture decision. This separates the design that informed implementation from later edits. Confluence’s published page history supports version comparison; the integration must retain the revision actually used in the review.

A document update can change the decision context without changing the requirement. For example, a revised storage strategy may affect diagnostic retention or recovery behavior. Route that change to the responsible reviewers and affected delivery items. Do not replace an accepted design reference with the latest page content without recording the reason and review outcome.

04

4. Send executable work to Jira and receive progress

The shared process creates or links the implementation work in Jira according to the selected bidirectional profile. The work includes the requirement reference, design revision, acceptance conditions and the expected evidence. Its external key is mapped to the Velocize delivery item so progress returns to the correct lifecycle context. The team can plan and execute its work in Jira while requirements and acceptance remain governed across systems.

Map transitions, not just visible status labels. Jira workflows determine which transitions are available; the connector identity needs permission for the specific operation. Returning from completion to rework may require a separate transition or a linked follow-up item. Define how assignment, comments, attachments and resolutions are handled rather than assuming that all fields synchronize in both directions.

05

5. Review evidence before accepting the delivery

Jira completion reports that implementation work reached its defined endpoint. The acceptance review still needs evidence for the approved requirement and configuration. For the monitoring example, review whether the event is visible, the diagnostic record is present, and the behavior remains correct after interruption and recovery. Test references must identify the assessed build or artifact and the applicable conditions.

Velocize connects the requirement baseline, design revision, implementation item and evidence to the delivery decision. A reviewer can see whether a result applies to the intended configuration and whether required checks are missing. A successful test for an earlier revision is retained as history; it does not automatically validate the changed product.

06

6. Return a reasoned rework request and close the loop

Assume the user-visible event works but the diagnostic record is lost after recovery. The review records the unmet condition, evidence reference and required correction. An authorized outbound action updates or reopens the mapped Jira work where the workflow allows it. The Confluence design is also reviewed if the failure exposes an incorrect architectural assumption.

The corrected implementation returns with new evidence linked to the same requirement context. Preserve the rejected result, subsequent changes and final reviewer decision. If the requirement itself must change, raise a requirements change for the owning IBM process; do not silently alter its meaning through a Jira comment. Forward execution and backward feedback remain distinct, attributable business transitions.

07

7. Control baseline changes and exchange losses

When the approved requirement changes, identify the affected Jira items, Confluence decisions and evidence. Keep the old baseline reference so the organization can explain what was previously accepted. The new revision needs its own impact assessment and acceptance scope, even if the external ticket is still marked complete.

ReqIF availability does not mean every lifecycle record travels with the package. IBM documents exchange restrictions, including categories such as review and audit information and external OSLC links. Validate the selected format, attributes and relationships in a representative round trip. Preserve non-transferred evidence through explicit references or another authorized exchange path rather than assuming that a successful import reproduced the entire approval history.

08

8. Make the integration recoverable and access-aware

Store the originating system, external identity, revision and correlation information for each exchange. Repeated callbacks must not create duplicate Jira work; a status written outward must not return as a new change indefinitely. Use revision checks, explicit conflict handling and reconciliation after interruptions. Technical retries repeat a failed delivery attempt; they do not authorize another business transition.

Scope machine accounts to the necessary projects, spaces, modules and operations. Source document access, tenant boundaries and retention remain relevant when content becomes evidence or AI context. Agree who investigates failed delivery, who resolves contradictory states and who approves a corrective write. A representative demonstration should include an approved baseline, a failed acceptance check, a return to Jira and successful reconciliation after an interrupted exchange.
